1. About this policy
[Registered business name — to be confirmed] (ABN [ABN — to be confirmed]), trading as Supply Sync, is committed to protecting your privacy. This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. Information we collect
We collect information needed to run a wholesale marketplace, including:
- names, email addresses, phone numbers and job titles of account users;
- business details such as legal and trading names, ABN, addresses, trading history and logos;
- delivery and billing addresses, orders, quotes (RFQs), catalogue requests, invoices and messages;
- support requests and any files you attach;
- technical data such as device, browser, IP address and pages visited.
We do not knowingly collect sensitive information and ask that you do not provide it.
3. How we collect information
We collect information directly from you when you register, list products, place or respond to orders, send messages or contact support. We may also receive information from other users (for example, a supplier sharing a catalogue with you), from payment providers, and from public sources such as the Australian Business Register to verify accounts.
4. How we use information
We use information to verify and manage accounts, connect suppliers and retailers, process orders, payments and invoices, send transactional emails and notifications, provide support, moderate content, prevent fraud, improve the platform and meet legal obligations. We will only send marketing messages with your consent, and every message includes a way to unsubscribe in line with the Spam Act 2003 (Cth).
5. Payments
Card and bank payments are processed by Stripe, which is PCI-DSS certified. We do not store full card numbers or bank login details on our systems. Stripe's handling of your information is governed by its own privacy policy.
6. Disclosure
We share information only as needed to operate the platform, including with:
- the supplier or retailer you trade with (for example, delivery address and order details);
- service providers for hosting, email delivery, payments, AI-assisted features and analytics;
- freight and courier partners you choose;
- professional advisers, regulators or law enforcement where required or authorised by law.
We do not sell personal information.
7. Overseas disclosure
Some of our service providers store or process data outside Australia, including in the United States and other countries. We take reasonable steps to ensure they handle information consistently with the APPs.
8. Cookies
We use cookies and similar technologies to keep you signed in, remember preferences such as your delivery state, and understand how the platform is used. You can disable cookies in your browser, but some features may stop working.
9. Storage and security
Information is stored with secure cloud providers, encrypted in transit, and protected by access controls so users can only see data they are entitled to. We keep information only for as long as needed for business, tax and legal purposes (generally seven years for transaction records), then delete or de-identify it.
10. Data breaches
If a data breach is likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.
11. Access and correction
You can view and update most of your details in your account settings. You may also request access to, or correction of, the personal information we hold by emailing support@supplysync.com.au. We will respond within 30 days and may need to verify your identity.
12. Complaints
If you have a privacy concern, contact us at support@supplysync.com.au or [Phone — to be confirmed]. We aim to resolve complaints within 30 days. If you are not satisfied, you can contact the OAIC at oaic.gov.au or 1300 363 992.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, and we will notify registered users of material changes.
